Automating overdue-invoice reminders: from the late invoice to the payment received

The real cost of invoices that drag on

An invoice paid late isn't just a line in a spreadsheet: it's cash you're missing exactly when you need it. And chasing payment — nobody enjoys it — it's awkward, it comes after everything else, so it often doesn't happen. The result: money sitting with your clients while you front the VAT and pay your suppliers. The good news: chasing is exactly the kind of regular, structured task you can automate — without losing the right tone.

What an automated reminder does for you

Concretely, the system tracks your invoices and follows up for you, cleanly:

Reminds before the due datea courteous message a few days before the date, to avoid simple forgetfulness.
Staggers reminders after the due dateone reminder, then a second, then a third, at regular intervals, without you having to think about it.
Escalates the tone graduallyfrom a friendly reminder to a formal notice, always keeping professional wording.
By email and by WhatsAppon the channel where your client actually replies.
Stops as soon as payment is madeonce the invoice is settled, reminders cease automatically — no awkward reminder to a client who's just paid.
Everything is centralised and tracedwho was reminded, when, and what's still due: you keep the full picture.

Example sequence (adapted to your rules) — a reminder 5 days before the due date, then at +7, +15 and +30 days after. Nothing aggressive: just consistency. The WhatsApp channel runs on the same agent as our WhatsApp chatbot.

Chasing payment is your right — and it's become the norm

In Morocco, law 69-21 (in force since 2023) now governs payment terms between businesses: a default legal term of 60 days, extendable to 120 days if the parties agree. It also requires a periodic declaration of payment terms to the DGI (tax authority), and provides for penalties for late payment, for companies above 2,000,000 MAD in revenue. In other words: getting paid — and paying — on time is no longer just a cash-flow matter, it's a monitored and enforced framework. (Terms, thresholds and penalties to be confirmed with your lawyer for your situation.)

Let's be clear about what we do: we automate the reminders — recovering what you're owed, on time and without thinking about it. Declaring your own payment terms to the DGI remains your task (or your accountant's): our tool does not produce it for you. But regular reminders help you get paid on schedule and keep a clean record of who pays when. The legal side — applicable terms, notices, formal demand, declaration — is for your advisor to validate.

Your data

The brain of the system — your invoices, your client contacts, your CRM — can run on self-hostable infrastructure that you own, in Morocco or elsewhere as you choose. Law 09-08 governs the transfer of personal data abroad, not merely its hosting: keeping this backend in Morocco or on your own infrastructure avoids those formalities.

Since reminders also go through WhatsApp, the same point of honesty as for our chatbot applies: WhatsApp is a Meta service, so messages pass through infrastructure outside Morocco. That's a transfer of data abroad — we tell you the corresponding CNDP formalities before starting, rather than pretending that “nothing leaves Morocco” on this channel.

We apply it to ourselves

We won't show you client logos (our confidentiality agreements forbid it). But our own prospecting runs on the automation systems we build — that's our best demonstration.

Frequently asked questions

Won't this antagonise my clients?

Not if it's done well. The tone stays courteous and professional, reminders are spaced out, and everything stops on payment. A client reminded properly often pays faster, without the relationship suffering.

Does it connect to my current invoicing?

We connect to your existing tools (invoicing, spreadsheet, CRM) to know which invoices are due and which are paid. We look at the prerequisites together during the free assessment.

Email or WhatsApp?

Both, depending on what works with each client. WhatsApp often has a better read rate in Morocco; email keeps a formal written record. We combine them.

Does it also handle my DGI payment-terms declaration?

No. Our tool automates the reminders — recovering what you're owed. Declaring your own payment terms to the DGI remains your task (or your accountant's); the tool doesn't produce it for you. It helps you get paid on time and keep a clean record.

What about my client data?

The backend and your CRM can be hosted in Morocco or on your own infrastructure. The WhatsApp channel goes through Meta: that's a transfer abroad, and we tell you the formalities (CNDP, law 09-08) before starting.
